Project Close out. See last paragraph for Home Assignment for Wk. 10

 

May be at the end of a project phrase or completion of project (when deliverables are presented to the customer). These are a few of the critical items. Based on your research and you project you can include more items in your project close out.

 

 Need various reports for the Close out. The main one is the Project Summary Report (Final Report).

 

Audit your project close. Audit means all items not just financial. 

 

e.g. Non financial: Change Order Request, Issues logs, Risk management documents.

e.g. Financial: bank account records, contracts signed off by Customer, final payment terms.

 

Need Customer’s formal acceptance of the Deliverables. Questionnaire good idea during review.

 

Documents: storage and future retrieval.   Define what to store, and who has access and how do they get access.

 

Distribute all necessary document s and the final reports to the appropriate Stakeholders.

 

Review the Team Members performance.   Project Managers can use the Weekly Performance evaluation that is completed in class and enter this into Final Written Project.

 

Deal with all the other Human Resource issues. What happens to the Team Members?

 

Celebrate completion.

 

Project Summary Report: this is primarily about lessons learned - focus on Communication, the Estimates, Risk management effectiveness and Change control procedure.  

 

Ask the Team Members, Customer, Vendors and other key Stakeholders for input.  Poll all the participant for input and document replies. What worked well on the project and what could you have done differently? Distribute the Progress Reports as appropriate to the need.

 

The group will complete the remaining Summary Report items as described above for their project and enter those documents into their Written Final Report.

 

Home assignment.  Lessons learned from the Team Members. This is part of the Project Summary.  Each Team Member will summarize what they learned from completing this project and provide their document to the PM who will also provide a summary. All documents given to Instructor at the start of class Wk. 11 for two marks.  The Instructor will add these to the Groups Final Written Reports.  Therefore:  there should be one page max. from each Team Member and the PM.  You can use bullet points.  Make it legible.  Use a computer - please don’t submit handwritten documents. Include your correct first and last student names not your nickname.

 

Note: Group still needs to complete remaining Summary Report items for their project – time will be given class next week for Group work.
